A spare user extension is an extension that would typically belong to a user who no longer requires access to Solgari Hub or Solgari products ie. a user who has left the organization or transferred to a different team/department where they do not use Solgari.. A spare extension is created from an existing user extension by renaming it to spare and removing all the necessary access that the extension might have. This process can be taken by the Solgari Administrator. Once that has been completed, the Solgari team needs to be notified by logging a support ticket, allowing them to proceed with the next steps.
- Log onto Solgari Hub by using either your provided Solgari Hub credentials or the Single Sign On using your Microsoft Account.
2. On the left of the screen, click on Configuration and then click on Users.
3. Search for the extension that needs to be set as spare using the filter on the right, you can search using the extension number, name of the extension or the email address. Once the extension has been identified, click on the pencil icon to edit the extension.
4. The extension configuration window will open. On the General tab, edit the extension name to spare as follows.
5. Go to the Options tab to disable the extension. Disable the extension by unchecking the Extension Enabled checkbox. Once that has been completed, hit Submit at the bottom right corner.
6. Once the changes have been applied, the extension should appear as such below:
7. To check which queues the extension was added to and remove the extension from those queues, click on Reporting and then Manage/Monitor.
8. A new window will open for the Queues Manage/Monitor section. Use the filter to search for the extension and enter, all the queues with that extension will appear.
9. Go to Queues to locate the queue the extension has been added to.
10. Use the filter to easily find the queue you are looking for to remove the extension and click on Edit.
11. In the queue management window. Go to Agents, click on the cross(X) next to the extension and hit apply.
12. One the changes have been accepted, this green pop up will appear after hitting Submit to confirm that the removal was successful.
